Invite and Manage Organization Members
Organization owners and administrators can invite teammates, assign access, and manage active members from one place. The available roles differ slightly between client accounts and lobbying accounts.
Who can invite and manage members?
Only an organization Owner or Admin can invite members, resend or cancel invitations, edit roles, or remove members. Only the current Owner can transfer ownership.
Client accounts and lobbying accounts
Client accounts
Invite business teammates with Admin access, Member access, or Billing access. Client accounts cannot assign the Practicing lobbyist role.
Lobbying accounts
Invite firm teammates with Admin access, Practicing lobbyist, or Billing access. Only lobbying accounts can assign Practicing lobbyist access, and only an Owner or Admin can send that invitation.
Practicing lobbyists use paid seats.
A pending invitation does not occupy or bill a seat. When the invitee accepts, active practicing-lobbyist seat usage increases by one. If your organization does not have unused paid capacity, its paid seat quantity increases and an immediate prorated charge may apply.
Understand member roles
Owner
Has full organization access, can manage settings and members, and is the only person who can transfer ownership. An organization has one Owner. Owner access cannot be added through an invitation or the role editor.
Admin access
Can manage organization settings, invitations, and members. Admins cannot transfer ownership unless the current Owner first transfers ownership to them.
Member access — client accounts only
Provides standard collaboration access without permission to manage the organization or its members.
Practicing lobbyist — lobbying accounts only
Allows the member to view opportunities, submit proposals, and manage client work. This role uses a practicing-lobbyist seat after the member accepts the invitation.
Billing access
Allows access to billing and payment settings. Billing access does not grant organization-management permissions by itself.
A member can have more than one role. For example, a lobbying-firm administrator may also be a practicing lobbyist and have Billing access.
Invite a member
- In Civalta, open Settings.
- Select Organization, then open the Members tab.
- In Invite member, enter the person’s email address.
- Select one or more access roles. Client accounts show Member access; lobbying accounts show Practicing lobbyist instead.
- Select Invite member.
- If the invitation includes Practicing lobbyist access, review and confirm the seat and billing details.
Choose the invitee’s access before sending the invitation. The options shown depend on the organization’s account type.
The invitation appears in the member list with an Invited status. The invitee does not receive organization access until they accept it.
Resend, cancel, or replace an invitation
Invitations expire automatically after 14 days. You cannot manually change the expiration date, but an Owner or Admin can manage the pending invitation from its three-dot menu.
- Resend invite: sends a new invitation link and restarts the 14-day window. Use this when the original email was missed or the invitation expired. The previous link is replaced.
- Remove: cancels the pending invitation so it can no longer be accepted. Send a new invitation later if the person still needs access.
Use the pending invitation’s menu to resend it or cancel it.
Edit a member’s roles
- On the Members tab, find the active member.
- Open the three-dot menu and select Edit roles.
- Select or clear the roles you want to change.
- Review any practicing-lobbyist seat impact, then save the changes.
Select the member’s access roles, then choose Save roles. The choices shown here are for a client account.
Role changes can affect billing.
Adding Practicing lobbyist access to an active member can increase paid seats immediately. Removing it stops that member’s lobbyist actions immediately; Civalta shows the renewal and billing effect before you confirm.
The Owner role is not available in the role editor. To make another member the Owner, transfer ownership instead.
Transfer ownership
Only the current Owner can transfer ownership, and the recipient must already be an active member of the organization.
- Find the active member who should become Owner.
- Open their three-dot menu and select Transfer ownership.
- Review the confirmation and complete the transfer.
The current Owner sees Transfer ownership for other active members.
After the transfer, the recipient becomes Owner and the previous Owner becomes an Admin. Both keep their other roles, including any Practicing lobbyist access and seat assignments. Only the new Owner can transfer ownership again.
Remove an active member
Open the active member’s three-dot menu, select Remove, and confirm. Removal revokes that person’s access to the organization. The current Owner cannot be removed; transfer ownership first.
Signing Lawyer
The Signing lawyer is the outside attorney or other legal representative your organization authorizes to sign engagement contracts on its behalf. This setting is useful when the signer is not part of your day-to-day Civalta team and does not need a Civalta account.
When a contract is ready for signatures, Civalta can include the configured signing lawyer as an external signer and send a secure signing link to the saved email address. Both client and lobbying organizations can configure a signing lawyer. Active organization members who have contract-signing permission may also be eligible to sign; the signing lawyer provides an external signing contact when legal approval is handled by someone outside your organization’s day-to-day team.
- Enter the lawyer’s full legal name.
- Enter the email address where they should receive contract-signing links.
- Select Save. A name is required whenever a signing-lawyer email is configured.
The signing lawyer is not an organization member.
Saving this contact does not create an account, send a member invitation, grant workspace access, or use a practicing-lobbyist seat. If the lawyer also needs to work inside Civalta, invite them separately and assign the appropriate member roles.
Save the name and email address of the external legal signer authorized for your organization.
Keep this email current.
If you change the signing lawyer’s email, outstanding external signing links sent to the previous address are revoked. Return to the applicable contract and send a new lawyer signing link when needed.
Troubleshooting
Invite member or member actions are missing
Ask the organization Owner or an Admin to complete the action, or ask them to grant you Admin access.
The invitation expired or the link does not work
An Owner or Admin can select Resend invite to issue a fresh link and restart the 14-day acceptance window.
The Practicing lobbyist option is missing
This role is available only in a lobbying account. Client accounts use Member access for standard collaboration.
Owner is not available in the role editor
Owner access cannot be invited or assigned like another role. The current Owner must use Transfer ownership.
